Hiring a chalet at the Christmas market

The Antwerp Christmas market is a welcome highlight to warm up the dark winter months. With its pleasant terraces, tasty snacks, heart-warming drinks and festive gifts, the Christmas market has become a popular event, attracting more than 1 million visitors last year.

Entrepreneur, creative company, non-profit organisation or NGO? Then you can apply to be a part of the winter magic at this year's Christmas market. Applications begin on Friday the 24th of May.

DATES AND OPENING HOURS OF THE CHRISTMAS MARKET 2019 - 2020

The Christmas market opens on Saturday 7th of December 2019 and is open every day through Sunday 5th of January 2020.

Winter in Antwerp starts with a huge opening party on the 7th of December 2019, with all chalets and attractions opening at noon.

Opening hours

With the success of last year's event and feedback from our chalet holders, we have only slightly adjusted the opening hours for this year:

Sunday – Monday – Tuesday – Wednesday – Thursday

New: exhibitors (only merchandise) can decide for themselves to close a little earlier in the event of bad weather or too few visitors. The closing time can start from 9 p.m. from Sunday to Thursday. On Friday and Saturday it is possible from 10 pm. Be sure to think about the visitor who is still present, the Christmas experience remains the best when there is much to see.

WHAT CAN BE SOLD AT EACH CHALET?

An overview by location:

    Consumption

    • The allocation of these chalets is via a public electronic bid. This is done in a number of steps:
      • You can come to the information moment (not compulsory). During this information moment you can get help so that you are well prepared for this bid. This information moment is on Monday 3rd June at 4 pm in Den Bell, Francis Wellesplein 1, 2018 Antwerp. Registration is not required. A signal when you come would be nice: winterinantwerpen@visitantwerpen.be
      • There is also a trial bid on Tuesday 25th June at 9 am, so you can be sure that the bidding works from your PC (not required).
      • The actual bid will be on Tuesday 2nd July at 5 pm.
    • The consumption chalets for food and drink are marked in green on the Grote Markt, Suikerrui and Steenplein map and on the Groenplaats map.
      The experience area on Steenplein is filled in with a food experience, this will be operated by the concessionairy of the winter bar.
      Read the user regulations with terms of application and operation before submitting an application. The user regulations contain important information on the application procedure, allocation of chalets, licensing conditions, decoration rules, use of and safety regulations for gas and electricity and processing of waste.

     

    • Registration for the consumption category was possible from 24 May 2019 up 14 June 2019 and has been closed now. You can subscribe to the mailing list so that you will be on time next year. This can be done by sending an email to winterinantwerpen@visitantwerpen.be.

    In addition to the usual product offering, there are six exciting new categories this year:

    • Fish + chips
    • Vegan and/or veggie
    • Cold sweet snacks like cupcakes, Danish pastries, donuts, pretzels, patisserie. A Bake-off oven can be used. (no waffles, pancakes, beignets, churros…)
    • Noodle soup, ramen, pho
    • Pulled & grilled meat + beer
    • Hot savoury snacks (onion rings, meat balls, sausage rolls, chicken wings, cheese balls) except for hamburgers, sausage, hot dogs

    Merchandise

    A jury shall assess your application using the following criteria:

      • Offering of festive/gift items (30 points): explain why your product is suitable for the Christmas market. The jury shall give precedence to items that fit well with the festive atmosphere and to items that cannot be found on a regular market. Examples include handmade, artisan products, candles, Christmas cards, party decorations, arty products, educational games, interior items and jewellery.
      • Originality (25 points): add images or examples of your products to your application. Add a description of your products to your explanation. Original/unique products will score higher than common products.
      • Quality (15 points): the jury shall score your product on a scale on which high-quality products that are highly suitable for the Christmas market receive 15 points, and low-quality products that are not suitable for the Christmas market score 0 points.
      • Varied offering (20 points): are you the first to apply with jewellery to sell? Then  you will receive 20 points. The second will receive 15 points, third 10 points and fourth 5 points. The fifth applicant with the same product offering will receive 0 points. The jury shall compile a list of product types in advance, in order to assess this criterion.
      • Design and presentation of the chalet (10 points)
      • Negative experiences at the previous three events (violation of the rules or official reports) may result in points being deducted. Each documented incident shall result in 5 points being deducted, to a maximum of 15 points.  

    After assessing the criteria for all applicants, the jury will draw up a points ranking. In the event of a tie, the order in which the applications were received will be decisive. The first applicant in the ranking will be the first to be considered for a permit. You must score at least 50 points to receive a permit.

    Rental rate for a chalet for merchandise

    The rates below do not include VAT. Additional costs, such as for a side hatch, will be charged to the stallholder. The rates below include electricity usage. In addition, the city will also provide general decoration for the Christmas market, festive music and entertainment.

    Do you need to apply again each year?

    For chalets selling food or drink, you must apply again each year. A permit for a chalet selling merchandise can be renewed maximum two times. To be considered for a renewal, you must be awarded 70 points in the assessment of the jury during their unannounced visits to the Christmas market.

    • You will only be considered for a renewal if you plan to offer the same products at the next event.
    • You will only be considered for a renewal if your payments have been received on time.
    • The jury will verify that the products you described at the time of application are the same as the products actually on offer (30 points).
    • The jury will verify that the quality of the products on offer is high (30 points).
    • The jury will assess the presentation of your products and the extent to which the chalet complements the festive atmosphere (20 points).
    • The jury will verify that the stallholder is following the rules of the Christmas market and is cooperative  (20 points).

    People or companies that are eligible for an extension will receive a separate registration form via email

    Weekly rental

    To give start-ups the opportunity to take part in the Christmas market, a chalet will be available for hire on a weekly basis. Start-ups are businesses that are no more than four years old.

    The chalet will be available for rental on a weekly basis at a reduced rate. This chalet is only suitable for the sale of merchandise.

    • Rental is €350 per week (excl. VAT) for a chalet containing 1 table, 2 chairs, basic lighting, a heater and a current limiter with plug sockets.
    • The rental period is one week, including a weekend.

    Charity chalet

    This year we want a breath of fresh air into the charity chalet. We have reviewed the old formula and would like to optimize it. We are still looking at how to do this, so for the time being you cannot register for this chalet.

    Dimensions of a chalet

    The city provides wooden chalets for rent. A 6 or 9 metre chalet consists of one or more standard chalets linked together without intermediate walls. See the dimensions of a standard 3 metre chalet

    How much electricity are you permitted to use?

    The city of Antwerp supplies electricity to each chalet.

    • For merchandise, consumption is limited to 3600 W per 3 metre stall (single phase, 16 A/220 V).
    • For consumption chalets, there is 1 connection of 10,000 W (three-phase, 16 A/220 V).

    Each chalet is equipped with a current limiter to prevent the maximum consumption being exceeded. In the event that the maximum consumption is exceeded, the supply to your chalet will be disconnected.

    Only electrical heating is permitted in chalets. Chalets provided by the city of Antwerp will also be equipped with heaters provided by the city of Antwerp. The stallholder is not permitted to use (gas) patio heaters, fire baskets or candles in/on/outside the chalet.

    Are you permitted to use gas?

    Gas may only be used for the preparation of catering items. This will be controlled. These stipulations can be found in the user regulations.

    Attention to moderation of alcohol consumption and to promoting a healthy lifestyle

    The city of Antwerp would like to raise attention to moderation of alcohol and to promoting a healthy lifestyle throughout the Christmas market. The city will therefore work with all competent services throughout the Christmas market to ensure compliance with the applicable alcohol laws (link leggen naar docu: 2018_def_alcoholwetgeving_EN)., with specific attention to respect age limits for the sale, serving and offering of alcoholic drinks. In addition, the city will also provide a chalet on all 3 squares serving non-alcoholic drinks and a soup chalet and a veggie chalet too. 

    As a potential stallholder, we kindly request your commitment to upholding the applicable alcohol laws. The city of Antwerp will take the necessary measures to communicate these specific areas of attention to visitors to the Christmas market.

    Decoration

    The city of Antwerp shall take care of the general decoration of the Christmas market, as well as decoration of the outside of chalets. Operators shall be responsible for interior festive decoration. Decoration and chalet lighting provided by the city must remain visible at all times, no modifications are permitted to decoration or chalet lighting.

    Stallholders are prohibited from displaying commercial material or advertising on the outside of chalets or on sales hatches. Light boxes, banners, advertising panels and publicity boards, etc. are prohibited. Stallholders are permitted to attach a maximum of two price lists in A2 format on the sales side of the chalet (except on the sales hatch itself), provided that these lists are free of publicity and advertising. All products and prices must be indicated on this price list.

    All decoration inside the chalet must be of a festive nature. Price lists must be clearly legible and be of the same style. Price lists and decoration must be submitted to and validated by the city of Antwerp for content, dimensions and tone of voice before printing, such that they are in accordance with the agreements at the time of opening.

    Unauthorised decoration, communication and installations will be immediately removed by the city services. The costs of removal will be borne by the stallholder. All decoration must satisfy fire safety standards.

    Parking

    The city will offer a monthly subscription in a parking garage near the Christmas market. This means that exhibitors can rent a parking space at an attractive rate. A monthly card is not obligatory and the exhibitors have the free choice whether or not to use it. The exhibitors will be informed about it on time.
